Terms and Conditions for Inca Trail Bookings
Before booking your Inca Trail experience to Machu Picchu, we kindly ask you to carefully read the following terms and conditions. These policies apply to all travelers who book any of our available itineraries for the Classic, Luxury, or Premium Inca Trail to Machu Picchu.
1. Inca Trail Permits
- Limited Availability: Access to the Inca Trail is strictly regulated by the Peruvian Ministry of Culture. Only 500 people per day are allowed on the trail (including support staff), so we strongly recommend booking well in advance.
- Non-Transferable and Non-Refundable Permits: Once the permit is issued, it cannot be transferred, refunded, or modified under any circumstances. This is a regulation established by the Peruvian government.
- Passport Requirement: Passport details must be provided at the time of booking. These must exactly match the valid document you will present when entering the trail and the Machu Picchu citadel.
- Renewed Passports: If you renew your passport after booking, you must travel with both the old and the new passports.
2. Booking and Payment
Initial Deposit:
A non-refundable deposit of $200 USD per person is required to secure your spot on the Inca Trail to Machu Picchu.
Final Payment:
The remaining balance must be paid at least 7 days prior to the start of the tour.
Accepted Payment Methods:
Visa, MasterCard, PayPal, and international bank transfers. Transaction fees apply.
3. Cancellations and Refunds
Traveler Cancellations:
- The $200 USD deposit is non-refundable under any circumstances.
- If you cancel more than 30 days in advance, any additional amount paid (excluding the deposit) will be refunded, minus administrative fees.
- No refunds will be issued for cancellations made within 30 days of the tour start date.
- No-shows or early withdrawals will not be refunded, including for medical or acclimatization issues.
During the Inca Trail Tour:
- If you begin the trek but are unable to complete it, only unused train tickets (Aguas Calientes to Ollantaytambo) and the bus from Machu Picchu down to Aguas Calientes may be refunded. All other expenses related to your early return to Cusco (accommodation, transportation, meals, or medical attention) will be covered by the traveler.
4. Changes by the Travel Company Inca Trail Camping
- Force Majeure: In the event of strikes, natural disasters, government restrictions, or extreme weather conditions, we reserve the right to modify or cancel the Inca Trail itinerary to Machu Picchu.
- We will strive to offer alternatives, but refunds in these cases are not guaranteed.
5. Travel Insurance
We strongly recommend purchasing insurance that includes coverage for:
- Trip cancellations
- Medical emergencies or evacuation
- Lost luggage
- Delays or interruptions
6. Health and Physical Condition
- The Inca Trail to Machu Picchu is a physically demanding trek at high altitude.
- We recommend spending at least 2 to 3 days in Cusco beforehand to properly acclimate.
- It is the traveler’s responsibility to ensure they are in suitable physical condition for the trek.
7. Responsibility and Liability
- We act as intermediaries between providers of transportation, accommodation, and other tourism services.
- We do not accept liability for incidents caused by third parties or for events beyond our control.
8. Rules for Early Returns
- If you choose to leave the tour for any circunstances, an assistant guide or support staff may help coordinate your return to Cusco (available for groups of 8 or more).
- If you decide to continue to Aguas Calientes on your own, you may reunite with the group in the town. All additional expenses (train, lodging, bus, meals, etc.) will be your responsibility.
9. Personal Belongings
- Each participant is responsible for their personal belongings. We are not liable for any loss or theft during the Inca Trail tour to Machu Picchu.
10. Code of Conduct and Park Regulations
Failure to comply with these rules may result in immediate expulsion from the tour without a refund.
It is mandatory to respect the rules of the Machu Picchu Historic Sanctuary.
The following are prohibited: Drinking alcohol, Smoking, Lighting fires, Carrying weapons, Obscene behavior, Extracting flora or fauna, etc.
